Holveda is a trade name of OTek USA LLC. In this policy, “Holveda,” “we,” “us” and “our” mean OTek USA LLC doing business as Holveda.

This policy explains what we collect through holveda.com, why we collect it, who we share it with, and what you can ask us to do about it. It covers this website only. It does not cover services we provide under a separate written agreement, which are governed by that agreement.

1. A note about patient information

Holveda serves psychologists, mental health therapists and their practices. Our clients are practitioners, not their patients.

Please do not submit patient information, protected health information, medical records or any other sensitive health information through this website. Our forms are not a secure channel for that material, and we do not want to receive it. If you need to discuss a matter that involves patient information, contact us and we will arrange an appropriate way to do so.

If you send patient information through the website anyway, we will delete it and let you know.

2. What you give us

You only give us information if you choose to. The forms on this site ask for:

  • Your name
  • Your email address
  • Your phone number, if you provide one
  • Information about your practice that you choose to include
  • Whatever you write in the message field

Visitors do not need an account, and there is no public account or login. Authorized Holveda personnel may use a password-protected administrative area to create and publish website content. For those administrators, we process their name, email address, username, password hash and account activity for authentication and security.

3. What we collect automatically

When you visit holveda.com, our systems and the third parties named in section 5 may record:

  • Your IP address
  • Your browser type and version, and your device and operating system
  • Which pages you viewed, when, and how long you stayed
  • The page or search that sent you here

This is ordinary web traffic information. We use it to keep the site working and to understand which pages are useful.

4. Cookies and similar technologies

A cookie is a small file a website stores on your device. Some are necessary for the site to function. Others record how the site is used.

This site uses cookies and similar technologies associated with HighLevel and LeadConnector, which provide our contact and booking forms. These technologies may record that a visit occurred and connect a form submission to the visit that produced it.

When you first visit, a banner lets you accept or decline these cookies. The forms and their cookies do not load unless you accept. If you decline, the forms stay off and you can reach us by email or phone instead.

The restricted content-management area uses cookies that are necessary to authenticate authorized Holveda personnel and keep their sessions secure. These cookies are not used for advertising.

Articles may include videos embedded from YouTube using its privacy-enhanced mode. YouTube may receive technical information and may use cookies or local storage when you load or interact with an embedded video.

You can block or delete cookies through your browser settings. Blocking cookies may prevent the forms on this site from loading.

5. Who else receives this information

We do not sell your personal information, and we do not share it with anyone for their own advertising.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We use a small number of service providers who process information on our behalf:

  • HighLevel and LeadConnector, which host the contact and booking forms on this site and store their submissions
  • Our website hosting provider, which handles the technical delivery of the site
  • GitHub, which stores the website source files and published article content and receives changes made through our restricted content-management area
  • Google, which provides YouTube and processes information when you load or interact with an embedded video

We operate the content-management database ourselves. It stores the content index and authorized administrator accounts, including hashed passwords; it is not used to store contact or booking form submissions.

We may also disclose information where the law requires it, where we need to establish or defend a legal claim, or where we reasonably believe disclosure is necessary to protect someone from harm.

If Holveda or OTek USA LLC is involved in a merger, acquisition or sale of assets, information may transfer as part of that transaction. We would tell you before it became subject to a different privacy policy.

6. Why we use it

We use the information described above to:

  • Answer your question or arrange the call you asked for
  • Provide and improve our services
  • Communicate with you about your inquiry, and about Holveda if you have asked to hear from us
  • Keep the website secure and working properly
  • Meet our legal and regulatory obligations

If we send you marketing email, every message will include a way to unsubscribe, and we will honor it.

7. Where information is handled

OTek USA LLC is a United States company. Some of the people who work on Holveda are located outside the United States, and the service providers named in section 5 may process information in other countries. Wherever it is handled, we apply the protections described in this policy.

This website is intended for visitors in the United States. We do not direct it at residents of the European Union or the United Kingdom.

8. How long we keep it

We keep form submissions and related correspondence for three years from your last contact with us, unless a longer period is required by law or is necessary to establish or defend a legal claim. After that we delete it or remove anything that identifies you.

Automatically collected traffic information is kept for a shorter period, in line with the settings of the providers named in section 5.

9. How we protect it

We use reasonable administrative, technical and organizational measures to protect the information we hold, and we choose service providers who do the same. No website or method of electronic storage is completely secure, and we cannot guarantee absolute security.

10. Your choices

You can:

  • Ask us what personal information we hold about you
  • Ask us to correct it if it is wrong
  • Ask us to delete it
  • Unsubscribe from any marketing email, using the link in the message or by contacting us
  • Block or delete cookies through your browser

To make any of these requests, email hello@holveda.com. We will respond within the time the law allows. We may need to verify your identity first, and we will not treat you differently for asking.

11. If you live in California

California residents have specific rights under the California Consumer Privacy Act, as amended. These include the right to know what personal information we collect and why, the right to request correction or deletion, the right to opt out of the sale or sharing of personal information, and the right not to be discriminated against for exercising any of them.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

The categories we collect are described in sections 2 and 3, the purposes in section 6, and the recipients in section 5. To exercise any California right, email hello@holveda.com with “California privacy request” in the subject line. You may use an authorized agent, and we may ask for proof of their authority.

12. Children

This website is for professionals and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

13. Links to other sites

Our site and our videos may link to other websites and social media platforms. We do not control those services, and this policy does not apply to them. Read their privacy policies before giving them information.

14. Changes to this policy

We may update this policy. When we do, we will change the date at the top. If a change materially affects how we handle information you have already given us, we will take reasonable steps to tell you directly. Please check this page from time to time.
